SETTING UP YOUR WEDDING WEBSITE

Your website is the digital heartbeat of your celebration—where guests RSVP, book rooms, and stay informed every step of the way. Complete a few steps, and we'll take it from there.

With your venue and group stay secured, it's time to share the joy with your guests—so they can start looking forward to the celebration with you! This next phase sets up your wedding website, email invitations, and guest list details to ensure everyone feels effortlessly guided from the start.

WHAT WE NEED FROM YOU

(Don't worry — it's fun!)

Just three simple components to bring your wedding website and invitations to life:

1

Couple Photos

2

Website Greeting Message

3

Guest List Details

Each section below outlines what to provide—and how it powers your invitations, RSVPs, and guest experience.

COUPLE PHOTOS

Your photos help tell your story and personalize your wedding website.

You'll upload three images that help personalize your wedding website and digital invitations. These photos help convey your style and personality, giving guests a first glimpse into the celebration ahead.

Digital Invitation Photo

This image is the featured visual in your email invitation and the first impression guests receive. It appears above your date, destination, and event details. Selecting a photo that fits the guidelines below ensures a clean, polished presentation across devices.

Guidelines:

Portrait (vertical) orientation

Both partners centered and visible

High-resolution image

Allow for a bit of space around the couple

Showcase your personality

INVITATION PHOTO EXAMPLES

Header Photo

Displayed at the top of your wedding website landing page once a guest clicks on your invitation, this image provides a striking visual backdrop. Panoramic or scenic photos tend to work best here, allowing the full-width format to showcase your personality.

Landscape (horizontal) orientation

High-resolution (2000 px width ideal)

Panoramic backgrounds work well

Avoid couple close-ups

Circle Profile Photo

A small bubble photo guests see as they travel through your website. Choose a clear, well-lit image with both faces visible to ensure it remains crisp and recognizable as it scales down during scrolling.

Close-up, well-lit image

Faces clearly visible

Simple background for clean circular cropping

YOUR GUEST LIST

Your guest list connects every part of your wedding website, group stay and guest communications.

Your guest list powers your invitations, RSVP tracking, and room block access—all within the Kiss & Tell platform. To make this step as easy as possible, we’ve included two tabs in your wedding planning spreadsheet:

Guest List Template—where you’ll begin entering the names and key details for everyone you plan to invite.

Sample Guest List—a fully filled-out example you can reference as you go, so you can see exactly how each column works before entering your own information.

If you ever feel unsure, your guest concierge is always happy to review your list and answer questions.

How to Fill Out Your Guest List

Most columns in the Guest List Template are self-explanatory (First Name, Last Name, etc.) or include instructions directly in the column header. Fill in our standard guest list columns:

  • First + Last name
  • Email
  • Mobile
  • Group letter
  • Invited Guest Pairs
  • "Plus One" Permissions
  • Adult or Minor
  • If Minor, Age

Every row = one guest
Guests who belong together share the same Group letter

How Guest Grouping Works

Guest grouping is the foundation of how your wedding website, invitations, RSVPs, and room block function. Each guest is listed individually but must be assigned to a Group, and guests who belong together should be grouped together.

Think of a Group as a household, couple or travel unit.

Start with yourselves in the first two rows and assign an "A" in the Group column.

Continue with your guest list and assign each household/couple/ travel unit the same Group letter (B, C, D, etc.)

If you have more than 26 Groups, continue with AA, BB, CC, etc.

GUEST GROUPING EXAMPLES:

An engaged couple → both assigned to Group B

A married couple plus 3 invited children → all assigned to Group D

A single guest → their own Group H

Emails and Mobile Numbers

Try to include emails and mobile numbers for as many of your adult guests as possible as it unlocks RSVP and booking capabilities and ensures consistent messaging and communication throughout your wedding timeline.

Any guest with an email may:

Receive the invitation with a personalized "magic" link

RSVP for themselves and anyone in their group

Book rooms for themselves and anyone in their group

Receive reminders and updates

EMAIL REQUIREMENTS:

At a minimum, at least one guest per group must have an email entered.

Do not use the same email for multiple guests. Each email provided must be unique.

Avoid using work, school or government emails as delivery is often restricted.

Invited Guest Pairs

Use this field to indicate which guests are formally invited as a pair — whether they’re a married couple, partners, or known significant others. This helps with a variety of event logistics like seating charts, excursion planning and transportation schedules.

If two guests are invited as a pair, assign both the same P1 Pair ID

If there are multiple guest pairs within the same group, assign each pair a unique Pair ID (P1, P2, etc.). This is uncommon but can apply in certain family or travel situations.

If a guest is attending alone, leave this field blank.

"Plus One" Permissions

This field indicates whether an invited guest is allowed to bring a +1 (who is NOT listed individually on your guest list).

For guests allowed to bring a +1, enter "1" in this column

For guests not given a +1, leave this field blank

Typically used for single invited guests where relationship status or name of significant other is unknown

Custom Guest List Columns

Depending on the nature of your event, invitation tiers, and guest list makeup, additional columns customized to your particular situation may be added to your guest list template to help organize invitation delivery and guest communications. Your guest concierge will review these additional columns with you, as needed.
